How to Write a Welcome Sequence That Converts

6 min read

The moment someone subscribes to your list is the moment they are most engaged with you. They just took an action. They expect something. A welcome sequence is the most important automation you can build because it captures that engagement and turns it into a relationship - or wastes it.

Email 1: Deliver and Set Expectations

The first email should arrive within minutes of signup. It delivers whatever you promised - the lead magnet, the access link, the confirmation. But it also sets expectations: who you are, what they will receive from you, and how often. End with a low-friction engagement question to identify the most active new subscribers.

Email 2: The Origin Story

Send 24-48 hours after the first email. This is where you briefly explain why your company exists and what makes your approach different. Keep it focused on the reader - what problem does your origin story solve for them? Avoid a corporate history that reads like an About Us page.

Email 3: Your Best Content

Three to four days in, send the one piece of content you are most proud of. A case study, a deep guide, a video that explains a complex concept. This establishes credibility and continues to deliver value before you ask for anything.

Email 4: Social Proof

A week in, share a specific result from a customer. A quote, a before-and-after story, a number that means something in context. Social proof at this stage moves subscribers from 'this is interesting' to 'this might be worth considering.'

Email 5: The Soft CTA

Around day 10-14, introduce a soft call to action. Not 'buy now' - something lower friction: a short diagnostic, a free audit, a 15-minute call, a product trial. Frame it around their problem, not your product. By now they have received enough value that a relevant offer feels earned, not pushy.
