Reports and Dashboards: The Metrics That Actually Tell You Something

Most marketing dashboards show what happened - sends, opens, clicks. The useful ones show why it happened and what to do about it. The difference is in which metrics you choose to track and how you organize them to answer the questions you actually need answered.

Activity Metrics vs. Outcome Metrics

Activity metrics measure what you did: emails sent, campaigns launched, contacts added. Outcome metrics measure what resulted: leads generated, pipeline influenced, deals closed. Both matter, but leadership and strategy decisions require outcome metrics. If your reporting is all activity, you are looking at effort, not results.

The Metrics Worth Tracking

  • Email: open rate, click rate, unsubscribe rate, reply rate (for outreach), bounce rate
  • List health: list growth rate, engaged subscriber percentage, unsubscribe rate trend
  • Conversion: form submission rate, lead generation by source, cost per lead
  • Pipeline: pipeline generated from email, pipeline influenced by email, deals closed from email
  • Automation: flow completion rate, drop-off rate by step, conversion rate at each stage

Building Useful Dashboards

A useful dashboard answers one primary question: 'Is our email and automation program generating business results?' Organize it with three sections: health (list size, deliverability, unsubscribe rate), engagement (opens, clicks, trends), and business impact (leads, pipeline, revenue). Keep it to 8-12 metrics maximum - anything more and the signal is lost in noise.

Reviewing Reports Regularly

A weekly email performance review takes 15-20 minutes and covers the campaigns sent that week: what performed above or below average, any deliverability alerts, and any automation flows that need attention. A monthly review covers trends and makes strategic adjustments. Quarterly reviews recalibrate targets and models.

Segmenting Your Reports

Always segment your reports by relevant dimensions: campaign type, audience segment, time period, and channel. An overall open rate of 28% might look fine until you see that one segment is at 45% and another is at 12%. That spread is where the actionable insight lives.
