Predictable pipeline is the result of a system, not individual heroics. When you know your conversion rates at each stage, you can work backwards from a revenue target and know exactly how many contacts you need to reach, how many meetings to book, and how many proposals to send. This is what predictability looks like in practice.
Working Backwards From Revenue
If you need to close 10 deals this quarter and your average deal size is 15,000 EUR, you need 150,000 EUR in closed revenue. If your close rate from proposal is 40%, you need 25 proposals. If your proposal rate from meeting is 60%, you need 42 meetings. If your meeting rate from outreach is 3%, you need to reach 1,400 contacts. Now you have a number.
The Inputs That Drive Pipeline
- List quality: the right companies and the right contacts within them
- Sequence volume: enough touches to reach your activity targets
- Messaging relevance: close enough to real pain points to generate engagement
- Follow-up speed: responding to engaged contacts within hours, not days
- Qualification rigor: not letting bad-fit deals clog the pipeline
Pipeline Hygiene
An overstuffed pipeline looks good until you realize most of it is stalled. Set clear stage exit criteria - what evidence is required before a deal advances? If a deal has been at the same stage for 30 days with no activity, it should be flagged or closed as lost. A smaller, accurate pipeline is more valuable than a large, fictional one.
The Weekly Pipeline Review
A weekly rhythm of reviewing pipeline by stage catches problems early. What moved forward? What stalled? What needs an action? The review should take 30 minutes and end with specific next actions for each deal in the late stages. Consistency in the review process builds the discipline that makes pipeline predictable.
Adjusting the Model Over Time
Your conversion rates will change as you improve your messaging, your targeting, or your sales process. Update the model quarterly. If your close rate improves from 40% to 50%, your outreach volume requirement drops - that is information you can use to reallocate resources or reduce costs.
